What is E-POD?

  • E-POD stands for Electronic – Purchase Order Database
  • E-POD is an online purchase order system designed specifically for the Film Industry.
  • E-POD automates the process of submitting Purchase Orders for approval and sending the Purchase Order to the next person in a pre-defined approval chain.

How does E-POD work?

  • Users log into E-POD and create either a “purchase” or “rental” Order
  • Supplier details are auto-filled as you type (you only need to capture supplier details once)
  • Supporting documents can be attached to the PO
  • The PO is submitted for approval
  • Authorisers are notified by email when they have PO’s awaiting their approval
  • Authorisers approve or reject PO’s via email or on the E-POD task panel
  • Once the Purchase Order has been fully approved, a unique order number is allocated to the PO.
  • With E-POD, one can manage when a unique PO number is allocated to a PO; either when the PO is submitted for approval or once the PO is fully approved.
  • Once fully approved, PO’s are automatically sent to the requester, to accountants and to the supplier (auto sending to supplier is optional).
  • If you amend a PO, it will re-enter the approval process and all the necessary parties will be notified of the changes.

Security

Due to the nature of the business, E-POD will have access to potentially confidential information and to the clients preferred suppliers. E-POD will sign a non disclosure agreement if required

Data loss

E-POD takes great measures to ensure that there is a backup of the client’s data, however in the unlikely event that data is lost, E-POD cannot be held liable.


Security & Data Storage

E-POD uses servers hosted by Afrihost in South Africa and the Google Cloud Platform.
All our data is stored behind apache’s security system. E-POD has been developed on eXist-DB (XML Database) which uses reverse proxying. This is the process of placing an apache reverse proxy server between eXist and the client. The reverse proxy server receives a request from the client, creates a new request to eXist and then returns the result it receives to the client. This means that it is very difficult for any malicious activity on the client side to gain access to the data on the eXist database.
The eXist database itself filters all incoming requests and will only process requests if a user is logged into the system.


E-POD uses an SSL Certificate

SSL Certificates, sometimes called digital certificates, are used to establish a secure encrypted connection between a browser (user’s computer) and a server (website). The SSL connection protects sensitive data, such as credit card information and client data, exchanged during each visit (session).

In November 2013, Demian and Urs Hauptle (yip, a father and son team!) founded Kudu. The union brought together Urs' strong background in computer programming and Demian's production experience in the film, commercials and events industries to create software capable of streamlining many of the logistics and production processes.

Together, they have designed a range of intuitive, project-based, online tools that will help every department manage their procedures and processes in a more effective and efficient way.
